Electronic Submission Requirements

All nomination packages must be submitted electronically according to the following specifications (paper nominations will not be accepted):

§         Only the following file formats will be accepted:
— PDF (Adobe Portable Document Format),
— RTF (Rich Text Format),
— TIF graphic files, or
— JPG graphic files.
Files created on either PC or MAC platforms will be accepted.
Please make sure scanned images can be read on a computer screen.

§         Nomination packages must be limited to no more than 20 pages total. This includes letters of nomination or recommendation.

§         Font size for text cannot be smaller than 10 point.

§         A nomination package must contain no more than 10 separate files. Please keep the size of each file below 5 MB.

In the submission e-mail, please include the title of the award in the subject of the e-mail. In the body of the e-mail, provide the name of the nominee and a list of the attached files

§         and be sure to attach all files.

 

 

 

SEB Member Awards Committee Responsibilities:

  1. Call for SEB Nominations will be distributed to entomology departments, U.S.D.A. laboratories, and selected representatives from industry in June.
    1. Include Internet links to descriptions of each award and set a deadline of September1 for receiving completed SEB Member Award nomination packets.
    2. Use the attached "Notice of Nominations" as a guideline
  2. Set "cut-off" date for receiving email packets as September1 so that materials and ballots can be assembled and sent to SEB Members Awards Committee members.
    1. Do not accept incomplete packets.
    2. Do not assemble packets for the person nominating the potential award winner. That responsibility rests with the person making the nomination.
  1. Make available nomination packets on an FTP site (password protected), and email evaluation forms (file attached) and ballots to each member of the Awards Committee no later than September 7. Request response by October 1.
  2. Tabulate committee responses and send names of winners in each award category by October 15 to SEB Secretary-Treasurer for preparation of certificates and SEB recognition arrangements.
  3. Send results to all persons who had sent in packets.
  4. Send a biography and black/white photograph of each SWB Award winner to the Program Chair in October for inclusion in the SEB Annual Meeting Program.
  5. Announce and recognize the nominees for these Awards at the annual SEB meeting in February or March.
  6. Forward packets of these SEB Award winners to the national office by the following July 1 for consideration for the National ESA Award.
  7. National Award winners will be recognized in the fall at the Annual Meeting of the ESA.
  8. Work with vice-Chair of the committee to maintain continuity. The vice-Chair will assume the chair position after the SEB meeting. The President-Elect will appoint the vice-Chair.
